We are seeking a detail-oriented and proactive Onsite Admin I to provide essential administrative, billing, and customer support for our onsite calibration and service operations. This role ensures accurate processing of work and purchase orders, manages returned equipment coordination, supports accounts receivable and inside sales functions, and maintains strong communication with customers and internal teams. You will be a key player in ensuring operational efficiency, customer satisfaction, and billing accuracy.
Key Responsibilities:
•Administrative & Billing Support: Process work and purchase orders, prepare job cost spreadsheets, complete billing packets, and perform general office tasks such as data entry and phone support.
•Customer Service & Communication: Respond to inquiries, provide job and quote updates, maintain positive client relationships, and help resolve invoice issues.
•Equipment & Order Coordination: Track returned items, provide and follow up on service quotes, and coordinate with lab and QA teams to expedite turnaround.
•Sales & Documentation Support: Prepare and process quotes, convert approvals to orders, and ensure job documentation meets quality assurance standards.
•Operational Assistance: Maintain clean workspaces, support job prep and equipment logistics, and order materials as needed.
Qualifications:
•High school diploma or equivalent
•Proficiency in Outlook, Word, Excel; experience with Sage and CalMapp a plus
•Strong communication and customer service skills
•Prior administrative or customer service experience preferred
•Ability to lift up to 50 lbs and work in both office and light warehouse settings
