We are seeking a detail-oriented Administrative Assistant – Field Ticket Auditor to join our team and help ensure the accuracy and completeness of our field ticketing process.
The Administrative Assistant – Field Ticket Auditor will play a critical role in tracking and auditing daily field tickets to ensure all billable personnel, equipment, and services are accounted for accurately. This position will work closely with accounting, engineering, and operations teams to eliminate revenue losses caused by incomplete or inaccurate tickets. This role will also help streamline our ticketing process in preparation for a long-term shift to an automated system.
Audit daily field tickets to ensure completeness, accuracy, and compliance with company standards.
Collaborate with accounting, engineering, and operations teams to identify and resolve discrepancies in tickets.
Track all billable personnel, including office, manufacturing, admin, engineering, and field services staff, ensuring accurate allocation to job numbers.
Follow up with team members to collect missing information and resolve ticket issues promptly.
Assist in submitting tickets to clients for approval in a timely and professional manner.
Maintain organized records of field tickets for easy reference and reporting.
Identify areas for improvement in the current ticketing process and provide feedback to support long-term software development goals.
Proven experience in administrative, accounting, or operational support roles.
Strong attention to detail and ability to manage complex data tracking and audits.
Excellent communication and interpersonal skills for coordinating across multiple teams.
Proficiency in office software (e.g., Microsoft Office Suite, especially Excel).
Experience with database or ticketing systems is an asset but not required.
Ability to prioritize and manage multiple tasks under tight deadlines.

This position offers flexible scheduling, with an initial commitment of 20 hours per week and the potential for additional hours as the role expands. We provide a competitive compensation and benefits package, with an hourly rate of $25–$27, based on experience and qualifications.
