General Summary:
Under the direction of the Human Resources Manager, will be responsible for providing administrative support to the management staff including Accounting, Production Control, and Human Resources.
Principle Duties and Responsibilities:
- Provide back up and regular administrative support to various departments including Human Resources, Quality, Production Control, Shipping, Engineering, Accounting, etc.
- Transfer outgoing shipments from previous day(s) to Corporate Accounting for customer invoicing.
- Match all purchase orders with receivers (packing slips), file original paperwork, and assist Corp Accounts Payable when required.
- Enter Purchase requisitions into Odyssey.
- Maintain and distribute various supplier related information such as receiving activity, pricing reconciliations, and delivery performance.
- Process hourly payroll including special payrolls such as vacation payouts and bonuses.
- Help the HR Manager in running an effective, professional, and proficient office environment.
- Greet visitors and answer telephone and direct calls to proper individuals.
- Responsible for processing overnight mailings, FedEx and UPS packages and all miscellaneous shipments.
- Must have working knowledge of personal computers and compatible software including MS Windows, Outlook, Excel, Word, and Power Point.
- Knowledge of various office equipment, i.e., fax machines, copiers, printers, etc.
- Working knowledge of General accounting functions
- Previous experience with payroll rules, regulations, and processes.
- Must have excellent written, verbal, and interpersonal skills to deal effectively with diverse groups of people.
- Must be multi-tasked, flexible, and able to prioritize projects efficiently.
- Must be detail oriented and highly organized.
- Ability to have a high degree of accuracy and confidentiality.
- Must be a self-starter, efficient and energetic.
- The Administrative Assistant will reside in the office, however, could be in the plant from time to time. Must be able to adhere to conditions of the plant.
- High School diploma or equivalent required
- 2-4 years in an accounting and/or payroll role, preferable in a manufacturing environment
- 2-4 years in an administrative support role, preferable in a manufacturing environment
- Associate degree in business related field is a plus.
