The Accounts Payable Analyst is responsible for ensuring the accurate and timely processing of all invoices and expenditure. The Analyst is responsible for co-leading the oversight and maintenance of the AP Automation software. This oversight will include verifying all invoice workflow processes are running as expected and addressing exceptions. In addition to managing the AP tools, the Analyst is responsible for establishing relationships with internal and external parties, training end users, researching vendor account activity and implementing best practices and process changes in conjunction with company policies.
70% of job: Lead various accounts payable functions within the ERP and AP automation platforms. Investigate and resolve purchase order, vendor, and other invoice issues. Ensure all vendor accounts are complete and accurate. Manage invoices in the AP workflow system for timely processing and resolve issues. Conduct training for end users and maintain open communication regarding changes. Work with internal business partners on reviewing invoices and analyzing transactions to ensure proper coding for both GAAP and tax reporting. Explore early pay discounts and assist with supporting the financial statement and sales tax audits. Post accrual entries as needed and manage recurring payments. Establish and maintain relationships with new and existing vendors. Act as liaison between internal business partners and vendors.
15% of job: Responsible for proper set-up/maintenance of vendors and 1099/1042 compliance. Obtain appropriate documentation from vendors (W-9/ W-8 forms) and perform TIN matching. Co-administer 1099 software and ensure timely and accurate filing of 1099/1042. Gather needed information and validate that it is accurate per IRS regulations.
15% of job: Perform regular ERP upgrade testing and assist with the implementation of system changes and controls. Identify process improvement opportunities.
