Job Summary:
The Accounting Admin is primarily responsible for performing daily specialized accounting tasks including verifying costs for all fuels including data entry to AP and billing databases. Liaison to insurance company for vehicles, property damage and accidental release (oil) incidents.
Specific Responsibilities:
•Receive all bill of lading from all drivers, verify the purchase price based upon time-of-day pickup.
•Export the invoices from Cargas to Sage/Intact AP system with appropriate terms for EFT payment per vendor. Verifies the EFT date/amounts prior to withdrawal from bank.
•Enter the invoices in Cargas ensuring all gallons and pricing are appropriately entered to ensure the profitability statements are accurate. Coordinate with other locations to ensure accuracy of information prior to data entry at each location.
•Maintain all vendor records and storage.
•Manage all permits necessary for Rhode Island along with all fuel invoices.
•Assist the fuel vendor representatives with answering questions providing timely resolution to concerns while maintaining a high level of professionalism.
Technical Requirements:
•HS diploma or equivalent (GED).
•Extensive knowledge of the fuel industry.
•Exceptional organizational abilities, problem solving skills, and attention to detail.
•Excellent written and verbal communication skills.
•Ability to work independently as well as on a team.
•Self-motivated, organized and detail oriented.
•Excellent verbal and written communication skills
•Proficient in Microsoft Office Suite, Sage Intact and Cargas software.
•Ability to always remain professional and courteous with customers and coworkers.
