We are a pipeline construction company supporting field crews that move fast and work hard. Our office team plays a critical role in keeping the operation organized, professional, and accurate. We’re looking for someone dependable, detail-driven, and confident owning an important process that impacts every employee.
This is not a typical “answer phones” job.
We’re hiring a high-accountability front office professional who will own timekeeping accuracy and hours submission for approximately 100 employees using Paycom.
✅ You will be responsible for making sure hours are accurate, complete, coded correctly, and submitted on time — every pay period.
If you take pride in accuracy, follow-through, and staying organized under deadlines, you’ll do well here.
- Submits timekeeping accurately and on time (every pay period)
- Catches issues early (missing time, wrong job codes, exceptions, overtime questions, etc.)
- Follows up consistently and professionally until problems are corrected
- Maintains clean documentation and audit-ready records
- Communicates clearly with supervisors and field crews
- Keeps the front office professional and organized
- Collect, review, verify, and submit timekeeping for ~100 employees in Paycom
- Track missing time, incorrect punches, job codes, and exceptions
- Communicate with foremen/supervisors/employees to correct time issues prior to deadlines
- Maintain accurate logs and supporting documentation
- Help reduce recurring timekeeping issues by improving compliance and process
- Answer phones and greet visitors professionally
- Route calls and requests to the correct person
- Support basic office admin: scanning, filing, organizing documents, tracking tasks
- Assist with office coordination and communication as needed
You’ll be a strong fit if you are:
- Extremely detail-oriented (you catch mistakes others miss)
- Reliable and deadline-driven (weekly timekeeping has hard cutoffs)
- Comfortable following up and holding people accountable professionally
- Calm under pressure and confident communicating with different personalities
- Trustworthy with sensitive/confidential information
- Strong with computers and willing to learn systems
This Role Is NOT a Fit If…
- You dislike following up when people don’t submit information correctly
- You struggle with detail work or accuracy under deadlines
- You prefer a low-accountability office role
- You want to be told exactly what to do every day
- Dental insurance
- Health insurance
- Life insurance
- Paid time off
- Vision insurance
- Describe your process for catching errors before submitting hours. (Short Answer)
- Have you used Paycom or any timekeeping software? If yes, which one(s)?
- How many employees' hours have you tracked or submitted on a regular basis?
- How do you handle it when a field supervisor repeatedly turns in time late or incorrect?
