Accounting Administration Assistant
We are seeking a detail-oriented and highly organized Accounting Administration Assistant to support our Accounting team. This roles plays a key part in ensuring smooth accounting operations through document management, vendor and customer communication, and accurate data entry. The ideal candidate is a fast typer, can work with a strong sense of urgency, and has experience navigating multiple platforms, including Microsoft Dynamics GP (Great Plains).
Key Responsibilities:
•Document Management: Upload and organize Certificates of Insurance (COIs) and other essential documents in the appropriate vendor on our shared drive.
•Statement Review: Perform detailed monthly reviews of vendor statements to identify missing or incorrect items.
•Invoice Follow-up: Communicate with vendors to obtain missing invoices and avoid late fees or finance chargers.
•Data Entry & Organization: Maintain and update Excel and Google Sheets tracking logs and internal financial reports.
•Customer Communication: Answer incoming customer calls to minimize disruptions to the accounting team.
•Accounts Payable & Receivable Support: assist with Ap/AR data entry to ensure timely and accurate processing.
•Invoicing Backup: Receive training to serve as a back up for generating and issuing invoices.
•Vendor Communication: Request documentation ad coordinate changes in vendor payment methods, including updates to banking information.
Qualifications:
•Proficient in Microsoft Office Suite (Especially Excel) and Google Workspace(Sheets, Doc, Drive).
•Working knowledge of Microsoft Dynamics GP (Great Plains).
•Fast and accurate typing skills.
•Exceptional organizational skills and attention to detail.
•Ability to multitask, prioritize tasks, and work under pressure with a strong sense of urgency.
•Excellent written and verbal communication skills.
•Prior experience in an accounting support or administration role is a plus.
