Total Safety, the leading global outsourced provider of integrated safety and compliance solutions and products, is looking for a Proposal Specialist who by using region-specific data, industry-standard processes and Company best practices, will support the Director of Commercial Services, by facilitating the proposal process and support process improvement initiatives throughout the global organization.
- Development of major bids/quotes/proposals for the enterprise.
- Profitability modeling for proposals.
- Price/volume tracking by end market and geography.
- Support internal clients (Sales, Finance (AP/AR), Billing, Marketing & Operations).
- Coordinate proposal efforts of any size, including turnkey proposals, turnaround/project proposals, complex proposals with multiple lines of business, volume discount initiatives and any other requested proposal.
- Coordinates & facilitates the proposal process from start to finish, including kick-off, status meetings, and various levels of bid reviews.
- Compiles and formulates data from various sources to ensure that final RFQ submissions optimizes financial gain and meets customers’ RFQ requirements.
- Coordinates the assembly of narrative and financial responses from functional departments.
- Uses existing proposal processes and develops and tracks proposal metrics.
- Works with various departments such as Supply Chain Management, Finance, Accounting, Legal, Sales, and Operations to manage proposal development and roll-out.
- Develops implementation and control plan of proposal process and estimating tools to ensure the success of the bids and gross margin achievement.
- Collaborates with respective Divisions to improve processes.
- Education - bachelor’s degree in business, Finance, or Accounting.
- Experience - 3-5 years’ experience in Industrial/Commercial Services contracting environment.
- Experience in preparing industrial/commercial bids & proposals.
- Ability to work in a high-tech, fast-paced environment.
- Understanding of Technical Safety Service/product sales/sales support and program/project management/administration preferred.
- Must have advanced Word (proposal documents), Excel (complex spreadsheets), and strong organizational skills. Ability to create and distribute templates.
- Strong technical aptitude required.
- Experience with web conferencing.
- Customer relationship management (CRM) database software experience required.
- Salesforce experience preferred.
- Must have experience in generating metrics.
- Travel as required.
- Excellent proofreading and writing skills.
- Excellent verbal communication skills with the ability to lead cross-functional meetings with executive leadership and field level supervisors.
- Attention to detail is a critical component.
- Ability to prioritize workload, have a strong team player attitude, ability to multi-task, work under pressure, and work extended hours during major proposal deadlines.
- Analytical skills and an ability to filter out non-relevant information.
- Flexibility in working with others at all levels of the organization that participate in the bid and proposal process.
- Team player – collaborating on coaching sales on win strategies, assisting in developing an estimating process in the company that optimizes gross margin and leverages and assists Operational success on projects.

Occasionally required to stand; walk; and stoop, kneel, or crouch. Must occasionally lift and/or move up to 50 pounds. Authority: No Supervisory responsibility but regularly serves as a resource to others and may serve as a lead or technical specialist.
