Job Summary
The Office Administrator is responsible for managing daily office operations, supervising the office maintenance and janitorial team, and ensuring a clean, organized, and efficient workplace. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate must be bilingual and able to support administrative and HR-related functions.
- Handle daily office operations, including reception duties, phone calls, emails, and general correspondence.
- Maintain office files, documents, and records (both physical and digital).
- Manage office supplies, inventory, procurement, and purchasing.
- Oversee janitorial staff to ensure cleanliness of offices, breakrooms, and common areas.
- Arrange daily and weekly janitorial schedules and monitor task completion.
- Track hygiene and cleaning supply inventory and place orders as needed.
- Assist HR by collecting employee feedback and communicating it to appropriate departments.
- Help post and distribute administrative notices and company communications.
- Maintain and update the company’s annual calendar (holidays, events, deadlines).
- Support planning, preparation, and setup for company events and activities.
- Ensure office operations follow company policies and procedures.
- Collaborate with management and other departments to support business functions.
- Assist with preparing reports, presentations, and internal communications.
- Provide support for special projects and operational needs as assigned.
- Must be bilingual (English/Spanish preferred).
- High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
- Proven experience in office administration or a similar role.
- Strong organizational, time management, and multitasking skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office software.
- Ability to work independently and as part of a team.
- Professional demeanor with strong interpersonal skills.
- Knowledge of office management procedures and basic accounting.
- Experience with scheduling software and database management.
- Strong problem-solving abilities and attention to detail.
- Monday to Friday, 6:30 AM – 3:30 PM
Expected hours: No less than 40.0 per week
