SUMMARY: Primary responsibilities include but are not limited to: preparing and issuing invoices, tracking payments, managing accounts receivable, resolving billing discrepancies and maintaining financial records to ensure timely payment and maintain company cash flow.
o Create, review, and issue accurate invoices and billing statements to clients in a timely manner.
o Record, track, and process incoming payments, including checks and electronic payments, and ensure their proper allocation to client accounts.
o Monitor accounts receivable, manage account balances, and identify and resolve discrepancies or errors.
o Inform customers about outstanding debts, follow up on overdue invoices, and assist with payment arrangements.
o Maintain detailed and accurate records of all billing and payment activities and update company databases and customer records.
o Serve as a point of contact for customer inquiries related to billing, payment status, and account discrepancies.
o Provide necessary documentation and explanations for financial audits.
o Assist with month-end closing procedures and preparation of financial reports.
· Assist the accounting and finance departments in data needed for reconciliations, pay schedules, collections, audit requests and other related matters.
· Work cooperatively with members of other departments and divisions.
- Exceptional attention to detail for accurate data entry into financial systems.
- Experience with ERP systems.
- Microsoft office (Excel, Word, etc.).
- Excellent verbal and written communication skills.
- Demonstrate and maintain positive relationships with all employees and the public.
- Professionalism and discretion when handling confidential information.
- Possess problem solving, reasoning, reasonable judgement and analytical skills.
- Ability to comply with appropriate task deadlines.
- Work independently and as a team member as required.
- 2-plus years of experience in a similar role.
- Knowledge of accounting processes and cycles.
