Job Summary:
We are seeking an organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for overseeing daily office operations, managing administrative tasks, and ensuring efficient office functionality.
- Data Management:
- Upload and maintain accurate data in company systems.
- Organize and manage digital files, documents, and records.
- Phone Support:
- Answer incoming calls promptly and professionally.
- Provide excellent customer service and assist callers with inquiries.
- CRM System:
- Utilize the CRM system to track customer interactions, leads, and appointments.
- Update customer profiles and notes as needed.
- Job Scheduling:
- Coordinate and schedule roofing jobs based on availability and customer preferences.
- Collaborate with field teams to ensure efficient scheduling.
- Communication:
- Liaise with Sales, Production, and Accounting departments.
- Facilitate smooth communication between teams.
- Relay important information accurately and timely.
- Administrative Tasks:
- Assist with general office duties, including filing, faxing, and scanning.
- Order office supplies and maintain inventory.
- High school diploma or equivalent.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Google Work Space Google Calendar, Drive, Docs, Email.
- Experience with CRM systems preferred.
- Excellent organizational and multitasking skills.
- Strong communication abilities.
