Southwestern Power Administration (SWPA), an agency within the U.S. Department of Energy, contracts with Wyandotte Nation’s Wyandotte Technologies to provide administrative and operational support services. Wyandotte Technologies is seeking a professional Administrative Support Receptionist to support SWPA’s Tulsa, Oklahoma office.
The Administrative Support Receptionist serves in a hybrid administrative role providing front desk reception, mail room support, and general administrative assistance in a federal office environment. This position is the first point of contact for visitors and callers and requires strong communication skills, professionalism, discretion, and the ability to work collaboratively as part of a team. The role supports daily office operations and may expand in scope as organizational needs evolve.
- Serve as the primary point of contact for visitors; manage visitor logs and provide procedural information.
- Answer, screen, and route incoming phone calls; take messages as needed.
- Support daily mail room operations, including receiving, sorting, distributing, and tracking mail and packages.
- Process incoming and outgoing correspondence, shipping, and payment logs.
- Prepare correspondence, reports, purchase orders, travel authorizations, and other documents using Microsoft Word, Excel, SharePoint, and approved systems.
- Maintain manual and electronic filing systems in compliance with government regulations and SWPA policy.
- Maintain calendars, schedule meetings, and track suspense dates.
- Process travel, training, time and attendance, and related administrative records.
- Manage office supply inventory and coordinate orders.
- Perform data entry in federal procurement and property management systems.
- Coordinate building and facilities requests (temperature, janitorial services, recycling).
- Assist with SOP updates and basic process audits.
- Bachelor’s degree preferred.
- Minimum of five (5) years of administrative support experience, preferably in a government or regulated environment.
- Proficiency in SharePoint.
- Strong working knowledge of Microsoft Word and Excel.
- Excellent communication, organizational, and time-management skills.
- Strong attention to detail and ability to manage multiple priorities.
- Must be a U.S. Citizen.
- Must be able to pass a federal security background clearance.
- Onsite attendance required, no remote work.
