GENERAL SUMMARY INFORMATION
Under the general supervision of the HTM/NI Terminal Manager, the Fuel Dispatcher is responsible for coordinating daily fuel deliveries to ensure timely, safe, and efficient service to customers. IES is a 24/7 operation, and this role requires ability to work nights, weekends and holidays. This role communicates closely with drivers, customers, vendors, and operations staff to plan fuel routes, assign delivery windows, and manage fuel inventories levels while ensuring compliance with safety and regulatory requirements.
The ideal candidate is an experienced and dependable logistics professional with a background in dispatching or fuel delivery operations. They bring a clear understanding of DOT regulations, and strong knowledge of fuel scheduling and route optimization. This individual is highly organized, detail-oriented, and skilled in using dispatch and fleet tracking software. They communicate clearly with drivers and team members, adapt quickly to changing priorities and conditions, and remain calm under pressure. A strong team player, who takes ownership of their responsibilities and contribute to the smooth, efficient operation of fuel delivery services. Experience in petroleum logistics or possession of a CDL with Hazmat endorsement is a plus.

ESSENTIAL FUNCTIONS
1. Dispatching & Scheduling
•Coordinate and schedule daily fuel deliveries based on customer demand, site inventory, and driver availability
•Assign delivery routes and provide drivers with clear, timely instructions
•Monitor real-time station inventories, delivery status and adjust routes to prevent runouts and as needed for efficiency and safety
•Serve as a backup dispatcher during absences, emergencies, or high-volume / peak periods
2. Communication & Coordination
•Serve as the central point of contact for drivers, terminals, vendors, and internal stakeholders
•Respond promptly and professionally to delivery issues, schedule changes, or customer concerns
•Collaborate closely with terminal operators and suppliers to manage fuel pick-ups and ensure availability
•Provide regular and timely updates to the Fuel Delivery Supervisor and other stakeholders
3. Inventory & Operations Management
•Monitor and manage fuel inventory across multiple sites to anticipate and meet delivery needs.
•Maintain accurate records of deliveries, driver logs, fuel tickets, and dispatch documentation.
•Ensure daily inventory reconciliation is reviewed, adjusted, and validated for all assigned stations to maintain inventory accuracy, monitor station usages, and prevent runouts.
•Assist with vehicle maintenance scheduling and coordination to minimize downtime and service disruptions.
4. Safety & Compliance
•Ensure dispatch activities comply with DOT regulations, hours-of-service rules, and hazardous material transport requirements.
•Enforce company safety procedures and promote a culture of compliance and accountability.
•Stay informed of current transportation regulations, support and contribute to audit preparedness.
•Foster a safety-first mindset among the dispatch and fuel delivery team.
OTHER DUTIES
1. Performs other duties as assigned by the Terminal Manager and Fuel Delivery Supervisor.
2. Maintain professional and courteous interactions with customers and escalates questions or concerns to the Terminal Manager.
Minimum Qualifications:
Education and Experience
•High School Diploma or GED.
•Minimum of two years’ experience dispatching, scheduling, logistics/transportation coordination, or fuel delivery operations.
•Familiarity with DOT regulations, driver hours-of-service rules and hazardous materials handling, strongly preferred.
•Experience in fuel, petroleum, or other regulated transport industries is a plus.
Skills
•Proficient in Microsoft Office Suite (Excel, Outlook, Word, etc.)
•Proficiency with dispatch software, GPS tracking tools, and route optimization platforms.
•Communication skills – strong ability to communicate effectively in oral and written expression.
•Customer Service - ability to provide excellent customer service and customer relations.
•Excellent organizational and time-management abilities.
•Strong sense of team spirit and ability to transfer it to others.
•Ability to work independently and make decisions under pressure.
•Ability to evaluate information and exercise good judgment in making decisions.

Desirable Skills
•Experience in fuel, petroleum, or other regulated transport industries desired.
Other Requirements
•24/7 operations requires ability to work nights, weekends and holidays to support delivery operations.
•Willingness to commit to The Island Way (IES core values of): Kīnāʻole, Aloha, Lōkahi and Hoʻohana.
•Valid Driver’s License in good standing with clean abstract is required.
•Ability to wear PPE including safety glasses, steel-toe boots, gloves and long pants.
•Ability to respond to after-hours calls or emergencies as required.
•Must be able to wear Personal Protective Equipment as required.
•Demonstrated ability to enforce distracted driving policies and hands-free mobile device usage in compliance with IES standards.
•Must ensure all drivers complete daily pre- and post-trip inspections, reporting discrepancies promptly and removing unsafe vehicles from service.
•Willingness to work variable shifts; including nights, weekends and holidays as required.
•Pass background check and drug test.
•Must be able to obtain a Transportation Worker Identification Card (TWIC) within sixty days of hire.
•This is a safety sensitive position and random drug testing is required.
PAY AND BENEFITS
Island Energy Services offers a competitive salary that commensurate with qualifications and experience. The annualized hiring range for this position is $65,000 ($31.25/hr) to $85,000 ($40.86/hr).

•Ability to stand and walk for periods of times on hard and uneven surfaces.
