We are seeking a highly organized and professional Office Assistant to support our daily operations. - Greet visitors and clients at the front desk with professionalism and courtesy
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and coordinate calendar management for staff members
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite, Google Workspace, and other office software for various administrative tasks
- Handle correspondence via email, phone, and mail in a timely manner
- Assist with bookkeeping tasks using QuickBooks or similar accounting software
- Support office management activities including supply inventory and maintenance coordination
- Provide customer support by addressing inquiries efficiently and courteously
- Maintain office cleanliness and organization to promote a productive work environment
- Proven experience in an office setting or administrative role with clerical responsibilities
- Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional phone etiquette and customer service skills
- Bilingual abilities are preferred to assist diverse clientele
- Familiarity with QuickBooks, bookkeeping, or medical/dental receptionist experience is a plus
- Ability to handle multiple tasks simultaneously while maintaining attention to detail
- Strong organizational skills including calendar management and proofreading capabilities
- Personal assistant or office management experience is advantageous
- Ability to work independently with minimal supervision in a fast-paced environment
