Position Summary
Atlantic Pipe Services is currently seeking a responsible and proactive Administrative Assistant to join our team. This role will support managers and employees, assist with daily office needs, and help manage general administrative activities. The Administrative Assistant will play a key role in ensuring the smooth and efficient day-to-day operations of our office.

Responsibilities
•Answer and direct phone calls to appropriate personnel
•Perform payroll data entry tasks
•Utilize the company ERP software to input and manage data
•Organize and schedule appointments and meetings
•Draft and distribute correspondence, memos, emails, forms, and reports
•Assist in the preparation of regularly scheduled reports
•Maintain and organize physical and electronic filing systems
•Update and maintain office policies and procedures
•Manage and update contact lists
•Book and coordinate travel arrangements
•Submit and reconcile expense reports
•Provide general support to office visitors and staff
•Serve as a point of contact for internal and external clients
•Liaise with executive and senior administrative staff to support company leadership
Qualifications
•3-5 years of relevant administrative experience
•High School Diploma or GED required
•Bilingual (English/Spanish) preferred
•Strong knowledge of office management systems and procedures
•Proficient with office equipment (printers, fax machines, etc.)
•Advanced skills in Microsoft Office Suite, especially Excel and PowerPoint
•Exceptional time management and organizational abilities
•High attention to detail and excellent problem-solving skills
•Strong written and verbal communication skills
•Experience in an entrepreneurial or fast-paced environment is a plus
•Demonstrated integrity, ethical standards, and a commitment to teamwork and service excellence
Work Environment & Physical Demands
•Ability to sit, stand, walk, and use standard office equipment
•Occasional travel may be required for meetings or training
