The Office Assistant will play a pivotal role in ensuring the smooth operation of our warehouse. This role is responsible for managing the purchase order process, coding invoices for accruals, and performing high-volume data entry with accuracy and efficiency. The ideal candidate will have strong analytical skills, excellent attention to detail, and the ability to work in a fast-paced environment.
- Administrative Support: Assist with day-to-day operations, including answering phones, managing correspondence, and maintaining office supplies.
- Data Entry: Accurately input, update, and manage data in company databases and systems.
- Code invoices accurately to appropriate general ledger accounts and cost centers.
- Review data for discrepancies and resolve issues with vendors and internal departments.
- Reconcile vendor statements and respond to inquiries.
- Ensure compliance with company polies and internal controls.
- Filing: Maintain and organize both electronic and paper filing systems.
- Education: High school diploma or equivalent; Associate’s degree or higher is preferred.
- Experience: Prior experience with purchase order processing and/or accrual accounting. :
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent written and verbal communication skills
- Strong organizational and time-management abilities
- Ability to multitask and prioritize tasks effectively
