Job Summary:
Voltage is seeking a proactive and detail-oriented Office Administrative Assistant to support executive leadership, streamline office operations, and enhance cross-departmental coordination. In this role, you’ll ensure smooth daily operations, manage schedules and travel, support HR initiatives, and maintain efficient workflows across the company.

- Provide executive-level administrative support and manage schedules.
- Oversee office operations, supply management, and vendor coordination.
- Support HR and cross-departmental initiatives, including onboarding and employee engagement.
- Manage documentation, reporting, and company-wide communications.
- Serve as the primary administrative point of contact for executives and leadership teams.
- Manage executive calendars, coordinate meetings, and arrange travel and event logistics.
- Prepare reports, presentations, and documentation for leadership.
- Handle confidential information with discretion and professionalism.
- Oversee office communications, supplies, vendor coordination, and facility needs.
- Maintain accurate records, files, and databases with a high degree of precision.
- Partner with HR on onboarding, training coordination, and policy communication.
- Support company events, office initiatives, and employee engagement activities.
- Ensure office workflows are efficient, organized, and compliant with policies.
- Perform additional administrative tasks as needed to support company operations.
Work Experience / Education / Skills Requirements:
- Bachelor’s degree in Business Administration, Office Management, or related field preferred.
- Minimum of 5 years administrative experience, ideally in a corporate or office environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational, multitasking, and problem-solving skills.
- Excellent written and verbal communication abilities.
- High attention to detail and accuracy in workflow management.
- Ability to handle sensitive information with discretion.
- Experience with office process improvements, travel coordination, or project management is a plus.
- Work is primarily performed in an office environment.
- Must be able to work at a computer for extended periods and attend meetings as needed.
