Description
The Shipping Coordinator is responsible for the preparation, documentation, and coordination of all outbound shipments for custom switchgear, switchboards (UL891), and related electrical products. This role ensures timely, compliant, and accurate deliveries to customers by working with internal teams and external freight providers. The ideal candidate will have experience in handling oversized freight, understanding shipping documentation, and ensuring a high standard of accuracy in all shipping transactions.
Key Responsibilities
Outbound Shipping Coordination
•Prepare and process all outbound shipments for finished products including switchboards and gear.
•Generate documentation such as Bills of Lading (BOLs), packing slips, shipping labels, and crating instructions.
•Schedule pickups with freight carriers (LTL, FTL, flatbed) and ensure timely dispatch of all orders.
•Coordinate with crating and production teams to stage shipments per customer and carrier requirements.
Carrier & Freight Management
•Communicate with carriers to verify shipping rates, pickup windows, and transit times.
•Ensure freight is packaged, labeled, and secured according to transportation and safety standards.
•Monitor freight shipments and resolve any in-transit issues such as delays, damage claims, or re-routes.
System & Documentation Management
•Enter shipping transactions into ERP system (e.g., JobBOSS) to update work order statuses.
•Maintain shipping logs and confirm proof of delivery (POD) for each outbound shipment.
•Track and reconcile outbound shipments against customer orders and packing lists.
Compliance & Safety
•Ensure all outbound shipments comply with DOT, OSHA, and UL regulations.
•Maintain a clean and organized shipping area that meets all warehouse safety standards.
•Follow best practices for forklift operation and material handling during shipping prep.
•Support internal audits by providing documentation and insights related to freight charges and invoice processing.
•Assist in matching packing slips, BOLs, and shipment confirmations to vendor invoices.
•Maintain accurate records of all invoice issues, resolutions, and communications.
•Coordinate with the Accounting and Purchasing departments to correct mismatches between shipment records and billed amounts.
•Review and reconcile shipping-related invoice discrepancies with vendors and internal teams.

Requirements
Qualifications:
•High school diploma or GED required, associate’s degree a plus.
•2–3 years of experience in a shipping role within a manufacturing environment.
•Experience with oversized freight, crating, and custom product shipping strongly preferred.
•Familiarity with ERP systems (JobBOSS preferred) and shipping platforms (FedEx Freight, UPS, TMS systems).
•Strong attention to detail, especially with documentation and labeling.
•Ability to lift 50 lbs. and operate forklifts and pallet jacks safely.
•Strong organizational and time-management skills.
