Hours of Work: 7am- 5:30p.m., Mon-Thurs.
The ideal candidate will be proficient in Microsoft Office Suite and Power BI, with experience in managing specialized records, preparing detailed reports, and maintaining organized documentation across multiple systems. They will be skilled in drafting and editing complex documents, managing calendars, coordinating meetings and travel arrangements, and processing work orders efficiently. Strong organizational skills and the ability to prioritize multiple tasks while meeting tight deadlines are essential.
Additionally, the candidate will be tech-savvy, demonstrate strong verbal and written communication skills, and communicate effectively with staff, management, and the public. The ideal candidate thrives in a fast-paced environment, shows initiative, and works independently with minimal supervision. Experience working in a government or public agency setting is highly desirable.
INTRODUCTION: Human Resources will screen applications and supplemental questionnaires. Candidates possessing the strongest skills and experience for this position will be forwarded to the hiring department for further evaluation and to determine who will be invited to the formal interview process. The successful candidate may be required to pass a drug screening, background check and may be required to pass a job-related physical evaluation.
Under general supervision, performs a variety of difficult, responsible and specialized secretarial and office support functions; types and edits documents ranging from general correspondence to technical reports and spreadsheets; and performs related duties as assigned.
Office secretarial practices and procedures; principles and practices of sound business communication; correct English usage, including spelling, grammar and punctuation; customer service techniques and methods; District organization, rules, policies and procedures applicable to departmental and division operations; practices and procedures used in work order processing; standard uses of word processing, spreadsheet, graphics, database and other standard software to prepare a variety of routine to moderately complex documents and materials; recordkeeping, filing and purchasing practices and procedures; District timekeeping policies, practices and procedures and related labor contract provisions.
Operate a computer using word processing and a variety of other standard software; type accurately at a speed necessary to meet the requirements of the position; organize, set priorities and exercise sound independent judgment within areas of responsibility; interpret, apply, explain and reach sound decisions in accordance with regulations, policies and procedures; organize and maintain office and specialized files; compose routine correspondence from brief instructions; communicate clearly and effectively orally and in writing both with District staff and customers; understand and follow written and oral instructions; prepare clear, accurate and concise records and reports; use tact and discretion in dealing with sensitive situations and concerned people and customers; establish and maintain effective working relationships with District managers, staff and others encountered in the course of work.
A typical way of obtaining the knowledge, skills and abilities outlined above is graduation from high school or G.E.D. equivalent and four years of increasingly responsible office clerical or secretarial experience; or an equivalent combination of training and experience. Experience in a government setting is highly desirable.
