Position: Safety & Training Administrator
Reports to: Director of Compliance
General Purpose: We are seeking a dynamic and adaptable professional to join our team in a fast-paced, ever-changing environment. The successful candidate will demonstrate confidence in verbal/written communication, exceptional attention to detail, effectively manage a high-volume workload and collaborate seamlessly with team members. This role is critical in delivering outstanding documentation management and providing comprehensive administrative support to the departments within the Compliance division. The ideal candidate will bring experience from an industrial or other highly regulated office setting, coupled with exceptional organizational, communication, and multitasking skills.

Essential Duties and Responsibilities:
SAFETY (50%)
•Document and records management:
•Files Safety documentation electronically and in hard copy as required
•Sets up and organizes applicable Safety file structures, ensure proper file hygiene
•Assists Safety Manager with creation of documentation guidelines and training for site personnel, i.e. how Safety documents should be completed and submitted
•Archives historical Safety data
•Assists with drafting, reviewing, and formatting relevant documentation such as policies, procedures, and work instructions as requested by the Safety Manager
•Creates templates for and ensures compliant formatting of Safety documents in accordance with the Document Control Standard
•Internal compliance and monitoring:
•Files and tracks Notices of Contravention for safety infractions from clients and/or external regulatory agencies
•Tracks assignment and completion of Corrective Actions
•Tracks Safety metrics as directed by the Safety Manager and Director of Compliance
•Prepares and distributes regular safety statistics reports
•Other Safety tasks as assigned
TRAINING (50%)
•Keep an accurate, up-to-date calendar of in-house training sessions, external training sessions, and the Training manager’s travel schedule and availability
•Keep a current list of approved training vendors and courses
•Document guidelines for appropriate use of external vs internal training per Training Manager, document the training booking and coordination procedure
•Ensure required employee training is compliant with external and internal regulations:
•Books applicable training and sets up HCC online orientation; follows up on the status of training bookings and ensures communication and visibility to all stakeholders
•Updates training matrices with employees’ certifications, issue and expiry dates
•Prepare reports alerting stakeholders well in advance of upcoming expirations
•Creation and maintenance of training materials
•Formats and enters all training materials including presentations, modules, assessments, quizzes, etc. into the Document Control System for internal quality assurance
•Ensures training materials are reviewed and revised regularly, based on scheduled targets or regulatory changes communicated by the Safety and/or Training Manager (e.g. The Saskatchewan Occupational Health and Safety Regulations, Saskatchewan Mines Regulations, CSA Safety Standards, etc.)
•Creates new training materials including document templates as requested by the Training and Safety Managers
•Ensures all training materials uploaded to the online LMS (learning management system) are current and free of errors
Qualifications:
•One to three years of general administrative experience
•Strong communication skills, both written and verbal
•Tact and the ability to exercise sound judgment while dealing with confidential information
•Proficient with computers, including Microsoft Office (Word, Excel, Outlook, Teams)
•The following skills and/or experience are considered a strong asset to the position:
•Proficiency within the overall Microsoft 365 environment
•Previous experience working within HR, Safety and/or Training Departments
•Previous experience or a keen interest in creating training materials and educational content
•Previous experience or keen interest in learning to work within a document control system
•Education (certificate, diploma, degree) in a HR, Safety, and/or adult education and training capacity is considered an asset
