Primary Purpose
Provide consultation and direction to internal customers regarding the capabilities of managed onsite, outsourced services including document services, café, catering & executive dining food services, offsite records management, staff augmentation services and travel services in support of multiple business units. Oversee, provide guidance and measure performance of on-site services suppliers to assure compliance with contract terms and delivery of required services and to meet or exceed customer satisfaction goals. Oversee the acquisition and maintenance of specialized equipment while assuring consistency with corporate standards and the appropriate use of corporate resources.
Duties and Responsibilities•Operate independently as the primary point of contact for one or more of the managed onsite, outsourced services. Manage day-to-day operations and relationships with vendors. Assume responsibility and accountability for all services activities and daily performance operations provided by outsourced service provider. Serve as the primary point of contact and company liaison with key suppliers during emergencies to provide critical support to employees. Support unplanned business issues related to outsourced services as they arise. Administer employee outreach programs by creating content to educate and engage employees throughout the SDG&E and SoCalGas service territories on services provided.
•Consult with internal business partners including managers, directors and executives to clarify objectives, evaluate service provider performance, propose solutions and make recommendations related to provider services. Prepare cost estimates and project schedules for a variety of complex projects and special services to meet customer needs. Secure appropriate approvals prior to commencement of work. Research, compile and develop data related to projects and services as required by business partners across the enterprise.
•Develop, recommend and implement plans, schedules procedures, reporting and budgets related to managed onsite, outsourced services necessary to assure a smooth work flow, cost effective production of end product, and timely delivery of completed projects to customers. Understand and apply industry trends, best practices, technologies and equipment capabilities.
•Manage Staff Augmentation Agreements and provide updates and recommendations to management with regards to spend, agreement key metrics, and savings opportunities.
•Participate in contract management and RFP process to ensure company expectations are defined and met. Manage and negotiate multi-year contracts. Validate that contracted prices are correctly charged on all invoicing. Ensure suppliers are in compliance with all applicable laws and industry requirements by inspecting and auditing contract terms and conditions along with Statement of Work documents on a quarterly basis.
•Perform other duties as assigned (no more than 5% of duties).
Requirements: Qualifications
Education•H.S. Diploma/GED Required
•Bachelor's Degree in business administration, public administration or related field. Preferred
Experience
•3 years - Related experience required, preferably in the oversight of related managed services (Documents Services, Food Services, Offsite Records Management, Staff Augmentation Management and/or Travel Services). Required
•3 years - Experience administering contracts for services, maintenance and supplies fulfillment techniques and business practices is strongly recommended Preferred
Knowledge, Skills and Abilities
•Industry knowledge of onsite, outsourced services (document services, café, catering & executive dining food services, offsite records management, staff augmentation services and/or travel services) preferred.
•Must have a high level of customer service and relationship management skills.
•Must have demonstrated contract management skills.
•Must be proficent in the utilization of computer systems and associated software, i.e., Word, Excel, PowerPoint.
•Must have the ability to exercise independent judgment in assessing situations, scheduling and evaluating the performance of suppliers.
•Must be able to exercises judgment in scheduling and overseeing the work of contractor personnel.
•Must have tact, diplomacy and assertiveness when negotiating with customers, contractors and other personnel.
•Must be analytical and detail-oriented.
•Must have excellent oral and written communications skills.
Other Qualifications
•Must be available to travel as needed throughout the SDG&E and SoCalGas service territories.
•May occasionally be required to work extended hours, evenings and weekends in support of unplanned business needs and emergencies.
