We are seeking a detail-oriented and adaptable Office Administrative Assistant to support daily administrative functions across multiple departments. The ideal candidate will be organized, proactive, and capable of balancing a variety of responsibilities including filing, scanning, accounts payable/receivable support, order entry assistance, and HR-related tasks. - Part-Time: averaging 20 hours a week (could be more depending on projects)
- Schedule: 3 days a week (5 hours allocated strictly to HR functions)
- On-site position
- Report to: Office Manager
- Assist the Office Manager with daily administrative tasks including filing, scanning, and document management.
- Provide back-up support for Accounts Payable and Accounts Receivable tasks.
- Maintain accurate records and ensure organized file systems.
- Assist the Order Entry Specialist with preparing and distributing shop travelers (stuffing and unstuffing travelers for the shop floor).
- Support production by ensuring paperwork is accurate and distributed on time.
- Provide assistance to the HR department on various projects, including but not limited to:
- Recruitment support
- Data entry and reporting
- Scanning and electronic record organization
- File maintenance and organization
- Handle confidential information with discretion and professionalism.
- Work on translation of documentation within in our system.
- Work closely with multiple departments to ensure administrative needs are met.
- Communicate effectively with team members to support company goals and deadlines.
- Take initiative to assist with special projects as needed.
- High school diploma or equivalent required; associate’s degree in business or related field preferred.
- Previous experience in administrative, office, or clerical work preferred.
- Familiarity with Accounts Payable/Receivable processes is a plus.
- Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook).
- Highly detail-oriented with excellent organizational skills.
- Ability to handle multiple tasks and adapt to changing priorities.
- Strong written and verbal communication skills.
- Customer service-oriented mindset with a positive, professional demeanor.
- Ability to maintain confidentiality and handle sensitive information appropriately.
