Overview
We are seeking a dynamic and detail-oriented Event Co-ordinator to oversee the planning and execution of a variety of events. This role requires a professional with strong organizational skills, excellent communication abilities, and experience in hospitality, catering, or hotel management. The ideal candidate will be responsible for managing all aspects of event logistics, ensuring seamless guest experiences, and delivering memorable events that meet client expectations. Location: On-site – North York, ON, Canada
- Collaborate with clients to understand their event needs, preferences, and budgets
- Develop comprehensive event plans including timelines, vendor coordination, and resource allocation
- Negotiate contracts with vendors, venues, caterers, and other service providers to secure the best terms
- Coordinate event marketing efforts to promote upcoming events through various channels
- Manage event budgets, track expenses, and ensure cost-effective solutions without compromising quality
- Oversee event setup and breakdown, including catering arrangements, decorations, and technical requirements
- Upsell additional services such as premium packages or upgrades to enhance guest experience
- Manage on-site operations during events to ensure smooth execution and guest satisfaction
- Conduct post-event evaluations to gather feedback for continuous improvement
- Proven experience in event planning, event marketing, hospitality, or related fields such as restaurant, banquet, or hotel experience
- Strong negotiation skills for vendor contracts and service agreements
- Excellent communication and interpersonal skills for liaising with clients, vendors, and team members
- Exceptional organizational skills with the ability to manage multiple events simultaneously
- Effective time management to meet tight deadlines and coordinate logistics efficiently
- Experience in budgeting and financial management for events
- Customer-focused attitude with a commitment to delivering outstanding guest services
- Ability to handle high-pressure situations with professionalism and calmness during events
- Knowledge of fundraising strategies can be an advantage for nonprofit or charity events
