We are a cosmetic dermatology office looking for an experienced, well-organized Office Manager.
Must have experience managing, training, and delegating to others, as well as leading ongoing projects in the office. Experience in managing and scheduling patients, managing insurance information, collecting medical and cosmetic income, and a customer-centric/concierge service mindset. Responsible for gathering and entering patient information and demographics quickly and correctly into the system. Must be able to provide accurate and professional telephone support for incoming calls from patients, medical offices, and vendors.
The Office Manager manages front office workflow processes. Provides support to the multiple departments by performing general office duties, to include scheduling of patients, directing calls to the appropriate person, and taking messages as needed. Greets and assists patients, physician, Physician Assistants, and visitors. Maintains patient and staff confidentiality. Provides coverage in front office by assisting with patients at the front window, scheduling patients in the EMR, placing orders for office supplies and responsible for office supplies and responsible for the monthly staff schedule. Develops and oversees daily Team member assignments. Must have a thorough understanding of managing a busy clinic schedule with multiple providers. Monitor the facility to ensure that it remains safe, secure, and well-maintained. Set goals and deadlines for the front office department. Analyze internal processes and recommend and implement procedural or policy changes to improve operations, such as supply changes or the disposal of records.
Must have at least 3 years’ experience in a physician’s office or MedSpa. Must have excellent communication skills, including writing and telephone etiquette.
Excellent organizational skills with the ability to gather, analyze, and interpret information.
Understanding of electronic medical record and billing systems and related applications.
· Two or more years of progressive and hands-on managerial experience in a medical practice or MedSpa.
· Must be a team-player and work cohesively with others.
· Strong financial background with previous billing and collections experience.
Open to a 3 to 5-day work week (M - F only)
