Facility Contract Services (FCS) is a Florida-based contract services company that employs and manages personnel for municipal clients. Our staffing services include administrative support, clerical, accounting, payroll, billing, accounts payable/receivable, purchasing, human resources, supervisory roles, utility services, water and wastewater plant operations, property and general services management, building and landscape maintenance, parks and recreation, and senior and community services. FCS specializes in municipal privatization through a task-based approach aimed at improving productivity and efficiency.
Under the supervision of the Principal/Assistant Principal receives, accumulates, and maintains a variety of financial data to provide current and accurate information to school administration, including that of funds generating within the school and funds budgeted by the school district and the City. The Principal/Assistant Principal will assess the effectiveness of the Assistant School Business Manager annually with respect to the performance of specific responsibilities on an approved Charter School evaluation form. The employee is responsible for maintaining accounts payable records. Work is performed with professional working knowledge of accounting practices and policies in interpreting procedures, recording and reporting transactions and preparing financial records. Duties include auditing invoices for payment, filing paid vendor invoices, and preparing PC's and CPR's for check runs. Work is subject to automatic and periodic verification through systems of internal controls, pre-audits and post-audits and to supervisory review for conformity with established policies and procedures.
- Followsgeneral instructions and operateswithin the limits of standard practices and procedures of the Federal, State and charter school rules regulations and policies.
- Receives, counts, records, and deposits, all monies collected for classes for lunches, field trips, t-shirts, pins, family field day, pictures, student obligations etc.; records financial activities regarding budgeted funds.
- Processes purchase orders, reviews check requests for proper documentation, pay all bills, post ledgers, reconcile monthly and yearly accounts, and maintain balanced accounts.
- Compiles, types, files,and maintains forms, summaries, reports, and records as necessary to endure accurate, up-to-date accountability.
- Processes payroll for all charter school employees, i.e., calculating hours, faxing same for cutting checks, and hand deliveryof all checks to employees.
- Purchases all textbooks, materials, and supplies, equipment, etc. and the subsequent checking in and verification that all materials ordered are accounted for.
- Handles all personnel issues such as paychecks, insurance, retirement, etc.
- Serves as liaison to public services such as workorders, scheduling of facilities
- Handles all financial matters through Munis.
- Coordinates School Inventory Process
- Processes Classroom Supply Funds Reimbursements
- Processes refunds from lunch accounts and all other accounts to parents
- Interacts effectively with the general public, staff members, students, teachers, parents, and administrators, using tact and good judgment.
- Operates standard office equipment such as any calculator, CRT terminal, microcomputer, word processor, duplicator etc., as well as equipment developed or advanced form future technology as required by the job.
- Participates successfully in the training programs offered to increase the individual's skill and proficiency related to the assignment.
- Reviews current developments, literature, and technical sources of information related to job responsibility.
- Ensures adherence to good safety procedures.
- Performs other duties as assigned by the Principal/Assistant Principal.
- Follows federal and state laws, as well as established policies.
- Education - Standard high school diploma or satisfactory completion of any General Educational Development (GED) Testing Program, which has provided a working knowledge of data processing equipment,
- Experience - Three (3) years of related work experience, School district work experience preferred. Work experience should have provided an ability to perform diversified duties. Ability to use judgment to determine the action to be taken.
- Special Qualifications - Knowledge of business practices, bookkeeping theory, and routine typing skills. Must be computer literate.
- The hiring administrator may specify preferred, appropriate additional qualifications as may be related to the job.
- This position is primarily sedentary and requires prolonged periods of sitting at a desk and working on a computer.
- Frequent use of hands to operate and control office equipment such as computers, phones, and other standard office tools.
- Occasional walking, standing, bending, or reaching may be required.
- May occasionally be required to lift and/or move up to 20 pounds.
