Primary Job Duties and Responsibilities (Essential Job Function)
Working independently under minimal supervision, this position provides administrative support of a complex nature to an operations district/s using analysis, innovation and judgment. Work focuses on acquiring a more in-depth knowledge of technical, job-related aspects of operations and the company. May train or mentor others.
Typical Duties
Screens calls and visitors, both on the phone and in person, by handling/responding to queries. Responds to data and general information requests.
Composes correspondence, documents, reports and/or presentations. Proofreads documents created by others. May record minutes of meetings and type for distribution.
Maintains office files, supplies, equipment and facilities. Operates office equipment and coordinates maintenance services. Obtains information and processes agreements for rented or leased equipment.
Maintains appointment calendars, arranges travel, schedules reservations and compiles expense statements.
Assists with projects by organizing, summarizing, entering and/or distributing data as requested. Maintains and tracks various scorecarding reports.
Prepares and maintains various company forms and computer-based applications. May conduct administrative and computer applications training and coaching for district personnel.
Prepares and processes company property records and applications for licenses and permits, including office equipment, tools, and work equipment as well as expediting vehicle exchange. Performs vehicle administration, including licensing and taxes, insurance confirmation, and quarterly inspection reports.
Performs administrative functions related to purchasing material and maintaining inventory. Purchases equipment/supplies, obtains quotes and prepares requisitions, stores, and maintains inventory/non-inventory materials and supplies, and completes required documentation.
Tracks monthly preventive maintenance (PM) tasks and notifies technicians of required actions, if applicable.
Tracks operator qualification task completion.
Attends safety meetings and tracks attendance and safety training.
Processes check requests, expense reports and timesheets using proprietary software (includes determining source document account coding). Monitors and reviews timesheet coding. Assists in maintaining employee records, such as time, expense and purchasing card (P-card) reports. Coordinates payment of invoices with accounts payable.
Monitors and reconciles cost data.
Compiles budgets/reports and distributes same.
Assists with preparation of capital and operations and maintenance (O&M) budgets and performs administrative responsibilities associated with capital and O&M project documentation.
Updates/Prepares monthly financial forecast report from management's input.
Prepares and administers general service agreements.
Assists with validation of initial locate and supports encroachment process.
Organizes/coordinates company-sponsored events and district meetings, as needed.
With appropriate training and certification, may operate forklift to move pallets or equipment.
Maintains schematics drawings and as-builts that reflect changes to pipeline and station valves.
Develops, modifies and updates office procedures.
Assists in the technical/functional services of the department by performing duties such as providing assistance on projects, preparing documents for approval, monitoring data.
An associate degree in business or related field or equivalent clerical or administrative experience plus five or more years' clerical/administrative. Typically, three or more years of related, progressive work experience would be needed for candidates applying for this position who do not possess an associate degree.
Proficiency in administrative work, oral and written communications, interpersonal relations, organizational and time management skills, including proficiency in developing clear and concise work papers.
Proficiency in the use and application of computer programs: word processing, financial spreadsheets, e-mail programs, presentation and database, and ability to use proprietary and customized software for financial, budget, compliance, regulatory, and time reporting purposes.
Strong math and writing skills, including proper spelling and grammar.
Effective analytical and problem-solving skills.
