Our dynamic, fast-paced environment requires a sharp acumen to support strategic growth and operational efficiency. We are seeking highly experienced and detail-oriented Payroll & HR Specialist to join our team.
This role requires managing both full-cycle payroll and core HR functions, with strong background utilizing various HRIS (Human Resources Information Systems) platforms, this role requires exceptional organization skills, a deep understanding of federal and state payroll regulations, and a commitment to maintaining employee data accuracy and confidentiality.
You will act as a strategic partner to the HR Department, operational and executive teams, transforming data into actionable insights that inform decision-making, optimize resource allocation, and support our long-term growth and sustainability goals.
- Process accurate and timely weekly and bi-weekly payroll for multi-state employees (salary, hourly, commission, etc.).
- Time sheet and time clock management
- Ensure compliance with all federal, state, and local tax regulations, including calculating and reporting payroll tax liabilities.
- Manage and reconcile employee benefits deductions, garnishments, and 401(k) contributions.
- Process year-end payroll activities, including W-2 preparation and distribution.
- Respond to and resolve employee inquiries regarding pay, deductions, and timekeeping.
- Maintain and update employee records within the HRIS (e.g., new hires, terminations, job changes, benefits enrollment).
- Employee support: Act as a resource for employees regarding payroll, HR policies and HRIS self-service inquiries
- Assist with benefits administration, including open enrollment, new hire orientation, and processing life event changes.
- Support HR processes such as performance management documentation and tracking, and exit procedures.
- Ensure HR compliance with internal policies and external labor laws.
- Data Analysis: Prepare, analyze, and present Key Performance Indicators (KPIs) and HR/Payroll metrics (e.g., payroll accuracy rates, turnover, time-to-hire, cost per hire, benefits utilization).
- Expert Excel: Utilize expert-level Microsoft Excel skills (VLOOKUP, Pivot Tables, conditional formulas, data visualization) to manipulate large datasets, audit payroll registers, and generate comprehensive reports for leadership.
- Process Improvement: Recommend improvements to payroll and HR processes based on data analysis and best practices.
- Assist in the development and documentation of departmental procedures.
- Serve as a key user and administrator for the company's HRIS (e.g., ADP, Workday, Paycom).
- Perform regular data audits to ensure data integrity and accuracy across all HR systems.
- Generate ad hoc and scheduled reports from the HRIS for management and finance teams.
- Troubleshoot system issues and work with vendors or IT to resolve them.
Experience: A minimum of 5 years of progressive experience in a combined Payroll and HR role.
HRIS Background: Deep, hands-on experience administering and maintaining a major HRIS platform
Technical Skills: Expert proficiency in Microsoft Excel is imperative (ability to create and modify complex formulas, pivot tables, and data models).
Education: [Associate's/Bachelor's Degree in Business, Accounting, HR, or related field] preferred, or equivalent practical experience.
