Overview We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to executive leadership. The ideal candidate will possess strong administrative skills, must have experience with open invoice excellent communication abilities, and the flexibility to manage a variety of tasks efficiently. This role offers an opportunity to work in a dynamic environment where attention to detail and professionalism are paramount. The Personal Assistant will be instrumental in ensuring smooth daily operations, coordinating projects, and managing schedules with precision.
- 10+ years of QuickBooks experience (required)
- Strong knowledge of QuickBooks Online/Desktop
- Experience managing open invoices, AR/AP, and reconciliations
- Solid understanding of accounting and bookkeeping principles
- Proven experience processing payroll
- Knowledge of DOT compliance and documentation
- Experience handling confidential financial and employee information
- Qualifications
- Proven experience as a Personal Assistant or in an administrative support role with office management responsibilities.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent typing speed and proficiency in computer literacy, including Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
- Experience with bookkeeping software such as QuickBooks is preferred.
- Exceptional communication skills with professional phone etiquette.
- Demonstrated project coordination skills and event planning experience are highly desirable.
- Attention to detail in proofreading, transcription, and document management tasks.
- Ability to handle confidential information discreetly and maintain professionalism at all times.
- Prior experience working with multi-line phone systems and calendar management tools like Microsoft Outlook Calendar is advantageous.
