Brief Description
The
Landowner Relations Associate
facilitates renewable energy project operations by serving as the primary point of contact for landowners, internal teams, and external partners. This role manages landowner onboarding, communication, and records while addressing inquiries with professionalism and efficiency. The ideal candidate is detail-oriented, customer-focused, and adept in a fast-paced environment.
Essential Duties And Responsibilities
Landowner Support•Respond promptly to landowner inquiries via phone, email, text, or voicemail, routing complex issues as needed.
•Maintain accurate logs of all landowner and external correspondence.
•Manage text-based communication for senior or tech-limited landowners.
Onboarding & Communication
•Establish project-specific phone lines and email addresses.
•Coordinate with prior asset managers to gather landowner details.
•Distribute and track welcome packets (ACH forms, W-9s, contact info).
•File and archive onboarding documentation.
Data & Records Management
•Process address changes and communicate updates to accounts payable for accounting system updates.
•Notify accounting team of updates to trigger payment letters.
•Archive legal documents, tax forms, and ACH/W-9s.
Legal & Lease Support
•Process ownership transfers, including document review, Estoppel execution, and W-9 collection.
•Guide landowners on ownership inquiries (estates, trusts, deeds).
•Support lease tasks: retrieval, provision reviews, and renewal reminders.
•Assist with legal due diligence, including data room uploads and county record research.
•Recommend legal counsel for landowners without representation.
Payments & Tax Coordination
•Resolve payment inquiries and update contacts using LexisNexis or outreach.
•Coordinate with Accounting to void/reissue checks and release payments.
•Distribute quarterly statements and support tax inquiries (1099s).
Project & Client Support
•Attend meetings to report on landowner issues (holds, payments, legal concerns).
•Support special projects (e.g., lease extensions, divestitures).
•Collaborate with field personnel to resolve landowner concerns.
•Mediate damage claims between landowners and Asset Management using lease terms.
Administrative Support
•Draft and send correspondence (e.g., spray notices, emergency alerts).
•Mail annual insurance certificates via certified mail.
•Manage electronic and hard copy filing for all landowner interactions.
Requirements
•Associate’s degree in Business, Land Management, or related field (Bachelor’s preferred).
•Proficient in Microsoft Office.
•Strong communication, organization, and critical thinking skills.
•Ability to handle confidential information discreetly.
•Customer-focused with proactive problem-solving skills.
Preferred Skills
•Familiarity with leases, deeds, and Estoppels.
•Experience with ACH/W-9 processing and 1099 tax documentation.
•Research skills using LexisNexis or county databases.
•Ability to multitask in a high-volume, deadline-driven environment.
Work Environment
•Hybrid with occasional travel to site offices or USPS.
•Fast-paced, collaborative team setting.
Summary
Applicants must possess a
valid driver's license
and maintain a clean driving record, as this position requires occasional travel for company business. Candidates should be comfortable operating a vehicle as part of their job responsibilities and must meet any applicable company and insurance requirements.
