- Position: Inspection Coordinator
- Reports to: Operations Manager

As an Inspection Coordinator, you will serve as the critical communication hub between clients, inspectors, and management, coordinating third-party QA/QC inspections while ensuring seamless operational excellence. This role requires exceptional organizational skills and strong verbal communication abilities, as you'll spend approximately 50% of your day on phone calls managing inspector schedules, client relationships, and project coordination.
- Coordinate and schedule qualified inspectors for third-party QA/QC inspection services across multiple projects
- Match inspector expertise with specific project requirements and client specifications
- Manage inspector availability, workload distribution, and travel logistics
- Ensure proper certification and qualification verification for assigned inspection tasks
- Comply with resume/CV formatting guidelines when proposing an inspector's profile
- Handle last-minute schedule changes and emergency inspection requests
- Serve as primary point of contact for existing client accounts, maintaining strong professional relationships
- Conduct regular client check-ins and proactively address service needs
- Farm existing accounts by identifying opportunities for additional inspection services
- Coordinate pre-inspection meetings and project kickoff calls with clients
- Provide project status updates and maintain transparent communication throughout inspection processes
- Handle client inquiries, concerns, and service requests with prompt, professional responses
- Receive, review, and approve inspection reports for accuracy and completeness
- Ensure reports meet client specifications and industry standards
- Coordinate report revisions and corrections when necessary
- Manage report distribution timelines and delivery methods
- Maintain organized filing systems for all inspection documentation
- Track report status and follow up on pending submissions
- Validate revenue accuracy for completed inspection services
- Review and approve inspection-related costs and subcontractor expenses
- Coordinate with accounting for invoice processing and payment tracking
- Monitor project budgets and cost overruns
- Prepare monthly financial summaries for inspection activities
- Process inspector expense reports and travel reimbursements
- Utilize internal management software for project tracking and data management
- Coordinate with regional teams to optimize resource allocation
- Maintain inspector database with certifications, specializations, and availability
- Prepare inspection work orders and technical specifications
- Coordinate safety briefings and site-specific requirements
- Track inspection completion rates and quality metrics
- Facilitate communication between field inspectors and office staff
- Coordinate with subcontractors and ensure compliance with contract terms
- Exceptional verbal communication skills with professional phone presence
- Strong organizational abilities with attention to detail and accuracy
- Highly responsive communication style with ability to manage multiple priorities
- Minimum 3-5 years' experience in inspection coordination, project management, or related field
- Proficiency in MS Office Suite (Excel, Word, Outlook) and database management
- Experience with ERP software and project management systems
- Ability to work autonomously while maintaining team collaboration
- Background in oil and gas equipment inspection or energy industry
- Knowledge of quality assurance and quality control processes
- Experience with third-party inspection services
- Familiarity with industry standards and certification requirements
- Previous client relationship management experience
- Autonomous: Prioritize, manage, and execute inspections for your assigned accounts and/or projects independently
- Organization: Exceptional ability to manage multiple projects, deadlines, and competing priorities simultaneously
