We are seeking to add an Executive Assistant to our office based in The Woodlands, Texas. This role will have a wide variety of responsibilities, from providing administrative support to executive team members, helping coordinate office logistics, safety reporting, and internal communications like staff newsletters and company updates. This position also supports team culture by organizing company events, assisting with facility needs, and maintaining inventory for field employees. You'll work closely with many different departments, participate on special projects, and help ensure everything runs smoothly and in line with Centric’s values of integrity, safety, and collaboration. This is a full-time, in-office position reporting directly to the COO. This role would suit a proactive, motivated, fast learner who wishes to grow alongside the business.

- Ensure that all operations are conducted safely and in compliance with all applicable laws, regulations, policies, and procedures.
- Foster a culture of always doing things the right way: the Centric Way (safety, openness, integrity, attention to detail, etc.)
- Collaborate closely with other members of the Centric Team to ensure that all commitments and requirements are clearly understood.
- Provide executive support to COO and CFO including managing calendars, travel arrangements, and expense reporting
- Manage COO’s inbox, assisting with prioritization and meeting preparation
- Collate and prepare content for company-wide meetings
- Send out weekly update surveys and compile responses for Leadership Team Meetings
- Assist with the collection, reporting, and analysis of monthly safety statistics
- Facility management for the Towers office, including:
- Ordering name plates for new hires
- Dealing with building and equipment maintenance issues that may arise
- Liaise with the Howard Hughes maintenance staff as required
- Maintain floor plan with office assignments, etc.
- Occasional receipt and distribution of mail
- Manage the construction damage claims process, coordinating resolution with Project Managers and external stakeholders; issue monthly status reports and progress updates
- Create and issue periodic staff newsletters; collate and update company news and key statistics for broadcast on office TVs
- Assist legal team with easement filings
- Notarize documents
- Maintain and distribute uniform inventory for field employees / Coordinate with Triple D and GoSafe accounts for all new hires/terminations.
- Order any polos or additional “swag” as directed by the ELT
- On request, operate the reception desk to greet any visitors for meetings organized by the Leadership Team
- Miscellaneous (lunch for meetings, FedEx runs, point of contact for any building-related work and visitors, planning company outings - dinners, field appreciation bbqs, team building, company meetings etc.)
- General support as directed by the COO
- Bachelor’s Degree OR High School Diploma/ GED with 4 years of office administration experience
- Proficiency in the use of computer software applications, including Microsoft Office, specifically Excel and PowerPoint
- Job requires employee to sit for extended periods of time, lift objects up to 30 lbs, grasp, carry, walk, speak, and listen.
