Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth day-to-day functions and providing exceptional support to staff and clients alike. - Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems, answer inquiries, and route calls efficiently
- Maintain organized filing systems, both physical and digital, including data entry and record keeping using tools like Microsoft Office
- Assisting AP with expense reconciliation and receipt verification
- Handle clerical tasks such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail
- Assist with bookkeeping tasks using QuickBooks or similar accounting software
- Provide excellent customer service by supporting client inquiries via phone or email, ensuring prompt resolution of issues
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Bilingual abilities are highly desirable to support diverse client needs
- Previous office administrative experience is preferred, especially in industrial reception settings
- Demonstrated customer service skills with a friendly demeanor and professional phone etiquette
- Experience with data entry, filing systems, proofing documents, and time management techniques
- Knowledge of office management practices including clerical procedures, bookkeeping basics, and office equipment operation
