Job Summary
The Energy Services Assistant I is primarily responsible for supporting the Energy Services department. This role assists department leadership and other Field Operations personnel as needed by providing administrative and scheduling support, processing invoices, timekeeping, compiling reports, and other administrative duties as needed.
Duties & Responsibilities
- Provide primary administrative support to department leadership by coordinating meetings, maintaining calendars, managing correspondence, compiling reports, coordinating travel, etc.
- Provide support at special events and meetings by providing correspondence, set-up/break-down assistance, scheduling, and recording meetings as needed.
- Answer and direct calls to appropriate staff and provide follow-up as needed.
- Open, sort, and distribute correspondence including e-mails, faxes, and mail for department.
- Maintain inventory and office supplies, anticipate office needs, place orders when necessary.
- Prepare reports, presentations, memos, letters, correspondence, and agendas by using Microsoft Word, Excel, PowerPoint, and Outlook under approval of manager as needed; proofread all documents for accuracy, grammar, and spelling.
- Reconcile and approve invoices for payment and facilitate credit card reporting.
- Provide administrative support and complete special projects and assignments of a confidential nature including compilation of data and statistical information for functional reports and related projects.
- Prepare and verify the daily time for the department, key daily time entry into Oracle, prepare contractor time reports, and work closely with the department Manager for authorization of time entry to help ensure accuracy; Create, organize, and file daily time packets.
- Provide support during emergency situations or storms as needed in various roles.
- Research work-related inquiries in CAD and PowerPlan.
- Update Maintenance calls through the Tennessee website and CAD.
- Process builder paperwork.
- Submit check request for builders.
- Manage customer records in the Energy Right Portal –HUP.
- Populate building models for to prep for monthly bill checking.
- Establish, maintain, process, and oversee files, correspondence, databases, records, and other documents as assigned.
- Assist Management with monthly reports as needed.
- Assist Key Account Engineers with administrative task as needed.
- Perform projects and other duties as assigned by the department Manager.
- High school diploma or equivalent.
- 0-2 years related administrative experience and/or training.
- Experience performing data entry and research in Enquesta, CAD, and PowerPlan.
- Demonstrated experience in developing and maintaining sensitive and confidential information and records.
- Possess and maintain a current, valid driver's license in state of residence and demonstrate safe and responsible operation of motor vehicles.
- Excellent customer service, telephone, records management, analytical, problem solving, and effective oral and written communication skills, as well as the ability to prioritize work and multi-task as appropriate to meet deadlines.
- Excellent PC Skills, including Microsoft Office (Word, Excel, Outlook, and PowerPoint) and database experience with the ability to quickly learn EPB’s internal software packages.
- Strong interpersonal and organizational skills, including working effectively with a wide range of employees at all levels of the organization.
- Ability to work as part of a team, and approach the work with a servant attitude is of utmost importance. Seasoned judgment in interpersonal relationships is required.
- Excellent follow-through skills.
May perform other duties as assigned.
