Role Summary:
You will report to the Vice President, Commercial, and be located in Tulsa, OK. You will have a minimum of 5 years of direct administrative assistant experience, have a strong attention to detail, and exhibit strong organizational skills. In this role, your responsibilities include booking travel arrangements, managing the Vice President's schedule and calendar, and reviewing presentations and documentation. You will have a forward-thinking and proactive approach to work. This is an on-site position that requires you to be in the office Monday-Friday, with some travel involved.
Compile, compose, prepare, verify and process information including:
Provide an advanced level of administrative support related to various departments and functions.
- Activities reports
- Special projects
- Governmental reports
- Employee/customer information Invoices
- Purchase orders
- Correspondence
- Contracts
Provide information and guidance to outside visitors, managers, customers, regulatory agency personnel, vendors, employees, and others concerning:
- Meeting arrangements
- Proper application of confidential or sensitive information
- Company policies and procedures
- Employee/customer information
- Special projects
Plan, direct and/or coordinate company-sponsored civic, community, employee activities or programs.
Verify, approve and/or disseminate requests for information, invoices, and correspondence.
Maintain logs; verify and prepare information related to:
- Lost time and vacations
- Invoices and expenses
- Departmental and special projects
- Budget
Regular and reliable attendance is required in performance of job.
Demonstrated ability in use and function of office equipment applicable to position including computers, photocopiers, facsimiles, and applicable software.
Working knowledge of company's policies, procedures, and use of terminology applicable to position.
- Budgets
- Word processing, spreadsheet, and presentation software such as Microsoft Word, Excel and PowerPoint
- Maintain physical and/or electronic filing systems
- Handling confidential and/or sensitive information
- Planning conferences and meetings
- Generally accepted standards for grammar and punctuation

Working knowledge of various types of manuals, forms, publications and reports.
Experience interacting and communicating effectively with internal and external customers.
Demonstrated ability to read and write fluently in English.
Able to operate office tools and equipment required.
Communicate and/or exchange verbal and written information or instructions.
