Job Title: Right of Way Documents Specialist Location:
Norfleet Land Services is seeking a detail-oriented and high-performing Document Specialist to join our growing team at our Flowood, Mississippi office.
The Right of Way Documents Specialist is responsible for preparing, reviewing, tracking, and maintaining legal and technical documents related to land acquisition and right-of-way (ROW) agreements. This role supports land agents, project managers, and clients by ensuring documentation is accurate, complete, and compliant with internal policies and regulatory requirements, enabling the timely execution of ROW projects.
- Report to the Project Manager or Document Coordinator overseeing the assigned project(s).
- Review and interpret right-of-way documents; maintain organized, up-to-date records in both digital and physical formats.
- Draft various Agreements and letters for mailouts, including Introductory Letters, Survey Notifications, Survey Permissions, and Condemnation Notices.
- Verify payment calculations and assist with payment documentation and mailings.
- Generate reports for clients as requested.
- Interpret legal descriptions and title documents to identify land ownership and ensure accurate stakeholder identification.
- Process all ROW-related documentation, including title reports, agreements, leases, and damage releases.
- Maintain and update ROW forms, claims, correspondence, records, databases, and project reports.
- Assist with due diligence to ensure all required documentation is collected before closing.
- Generation and Process Subordinations.
- Coordinate financial payments with Project Manager/Lead oversight.
- Review project plats and sketches for accuracy.
- Prepare construction and operations line lists.
- Assemble and organize final project files.
- Prepare electronic final file project transmittal.
- High School Diploma or GED required.
- Minimum of 3 years of experience working with ROW documentation (preferred).
- Business communications, organizational, problem-solving skills.
- Ability to maintain accurate and orderly records.
- Detail-oriented, analytical, and critical thinking skills.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint, Access) and Windows-based software.
- Comfortable working with databases and capable of learning client-specific systems.
- Effective written and verbal communication skills.
