The Production Coordinator maintains our portfolio of project schedules, tracks controls components through production and shipment, and supports customer invoicing. This role provides the critical tie between engineering, production, and project management functions. The Production Coordinator role works closely with our Design & Production Manager, Project Engineers, and Manufacturing Technicians.
- Project and Service Creation, Scheduling, and Closeout
- Enter project schedule, budget, and resource assignments in accounting and project management system.
- Review Work-in-Progress schedule, communicate internally for project status updates (monthly).
- At project closeout, oversee final inventory count and re-stocking, verify final tasks complete, close project schedule and sales order accounting.
- Receive service project requests, setup schedule, budget, and assignments in project management system.
- Receiving
- Coordinate with shippers, verify packing list, receive items in system, and put-away inventory.
- Work with Procurement Specialist to resolve purchase order discrepancies.
- Production Support
- Update Assembly Order bill-of-materials to match final “As-Built” condition.
- Process inventory transfers ensuring items’ project codes, reservations, and physical location.
- Confirm shipment details, destination, and customer with internal project engineers.
- Ensure Sales Order and Assembly Order is accurate, process shipment in system, generate packing slip.
- Support Panel Technicians in packing and loading controls systems; pick and pack small items for shipment.
- Coordinate with shipper and customer for less-than-truckload shipments.
- Customer Invoicing
- Identify needed customer invoices from shipments, completed project milestones, and invoice queue.
- Verify project information, hours, service report, and items shipped; update project management system.
- Prepare and send customer invoice; issue reminders on past-due invoices.

- Automation, controls, electrical, or construction work experience helpful.
- Ability to read and interpret technical contract documents. Familiarity with schematics and bills-of-material.
- Experience with Microsoft Project and Microsoft Business Central/Dynamics NAV helpful.
- Strong computer skills with experience using Microsoft Office, pdf editor, and inventory and accounting software.
- Strong communication skills for oral and written communication with colleagues, vendors, and customers.
- 4+ year(s) of relevant experience required. Direct experience in production, inventory, and/or data processing preferred.- Minimum of a High School Diploma/GED required; college degree preferred.
