Overview
We are seeking a dynamic and highly organized Executive Assistant to support our President and executive team. to ensure the smooth operation of daily business activities. - Manage complex calendars, schedule meetings, and coordinate appointments using tools like Microsoft Outlook Calendar, Microsoft Office, and Google Workspace.
- Prepare, proofread, and transcribe documents, reports, and correspondence with accuracy and attention to detail.
- Organize and plan events, meetings, and travel arrangements to ensure seamless execution.
- Handle multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer service skills.
- Assist with project coordination and meeting preparation by tracking deadlines, preparing agendas, and following up on action items.
- Support personal assistant tasks such as managing personal schedules or errands as needed by executives.
- Proven experience in executive administrative support or personal assistant roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe, Docusign, and Google Workspace applications.
- Skilled in office management tasks including filing systems, data entry, and clerical work.
- Facilitates communication between 3rd party marketing team and community involvement, social media engagement, and public relations initiatives.
- Prompt almost immediate response to executive directives
- Ability to coordinate multiple projects simultaneously while maintaining attention to detail in a fast-paced environment.
- Experience in customer service to enhance office efficiency. Collaborating with Executive to collect subcontractor and customer information for transfer to billing, AR, & AP
- Serve as a House Manager, coordinating or personally completing services such as organizing storage closets, keeping work areas clean, picking up or dropping off food, dry cleaning, packages, and other items.
- Delegates and oversees vendor tasks for property management including landscaping, vehicle maintenance, cleaning services, and other similar tasks..
