Responsible for providing administrative support to the site Director and site Managers. Responsibilities include scheduling meetings, managing calendars, tracking action items, helping develop and complete correspondence, screening office visitors, coordinating activities with Human Resources, Data Systems, and other functional groups. Act as the site Human Resources focal point: Works closely with Human Resources to coordinate, schedule, and track required medical services of site personnel as requested by Human Resources. Prepares/coordinates confidential reports and correspondence of site personnel matters in benefits, insurance, medical services, employee performance appraisals, new hires and terminations. Assist in the preparation and submittal of position requisitions. Maintains confidentiality in all human resources and employee related matters. Acts as the site focal point for company programs and activities in the above areas to include responding to inquiries, maintaining program records, developing reports and coordinating activities with program personnel at other site locations. Assist with or prepares travel authorizations and expense reports. Act as the Site SharePoint Representative; Coordinate, track, and provide administrative support to work instruction document owners, in order to maintain up-to-date site work instructions. Maintains documents, logs, and files in a manner such as to ensure appropriate accessibility and use by site personnel. Performs typing and word processing to include document formatting and spreadsheet design. Produces memo, letters, charts, graphs, and reports. Serves as alternate to Petty Cash and Line of Credit Check custodian. Responsible for site telephone system to include handling, coordinating, troubleshooting problems and requests for service through New Orleans. Coordinates requests for maintenance of site copy machines. Provides escort of technician(s) to repair all site copy machines. Send usage report to Data Systems and request needed supplies. Also escort other vendors as necessary. Site Records Liaison-Provide Guidance/Coordinate all required record transfers. Performs other duties as assigned.
REQUIRED: HS Diploma and 5 years of progressive administrative support experience with focus on using automated office software and data management systems. Proficient user of MS office products including Word, Excel, PowerPoint, and Outlook. Must have strong oral and written communication skills as position involves daily interactions with a broad spectrum of employees. DESIRED: Post-high school education- Associate degree in Office Administration/Business is desirable. Experience with SharePoint and SAP.
