- Manage and maintain detailed calendars, scheduling meetings, appointments, and travel arrangements with precision.
- Provide comprehensive executive administrative support including email management, document preparation, proofreading, transcription, and data entry to ensure accuracy and professionalism.
- Coordinate projects by tracking deadlines, preparing reports, and liaising with internal teams to facilitate smooth execution of initiatives.
- Handle phone etiquette expertly, screening calls, taking messages, and directing inquiries efficiently.
- Organize and oversee office management tasks such as filing systems.
- Assist with bookkeeping using QuickBooks or similar accounting software; perform basic bookkeeping tasks and recordkeeping for financial transactions.
- Plan and coordinate events or meetings.
- Support personal assistant duties as needed for senior executives including personal scheduling or errands to enhance overall productivity.
- Exceptional organizational skills with the ability to multitask effectively in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and office management software.
- Strong typing skills combined with excellent proofreading and transcription abilities for accurate documentation.
- Experience in event planning, project coordination, clerical support.
- Knowledge of office management practices including filing systems, data entry procedures, and multi email systems.
- Customer service orientation with professional phone etiquette and interpersonal skills.
- Familiarity with bookkeeping tools such as QuickBooks; basic understanding of financial recordkeeping.
- Ability to handle sensitive information discreetly while maintaining confidentiality at all times.
