We are seeking an organized, proactive Legal Assistant with strong experience supporting attorneys in probate, estate planning, and trust administration. This role focuses on administrative coordination, document preparation, client communication, and ensuring smooth case flow. The ideal candidate is detail-driven, professional, and comfortable managing multiple deadlines in a fast-paced legal environment.
- Provide daily administrative support to attorneys handling probate, trusts, and estates matters
- Draft and prepare routine legal documents, correspondence, engagement letters, and forms
- Assist with compiling and organizing documents for estate and trust administration, including asset lists, inventories, notices, and court-required filings
- Coordinate communication with courts, clients, executors, beneficiaries, and financial institutions
- Manage attorney calendars, schedule meetings, track deadlines, and maintain case timelines
- Prepare, format, proofread, and finalize legal documents for filing or execution
- Handle e-filing in state courts and manage inbound/outbound mail, scanning, and document indexing
- Maintain and update physical and electronic case files, ensuring accuracy and compliance
- Process invoices, track billing entries, and assist with timekeeping for attorneys
- Assist with notarization, witnessing signatures, and coordinating document execution (if applicable)
- Support attorneys with research tasks such as locating statutes, forms, and probate process information- 3–5+ years of experience as a legal assistant, ideally in probate, estate planning, or trust administration
- Strong understanding of probate procedures and familiarity with estate planning documents
- Excellent written and verbal communication skills
- High attention to detail with strong proofreading and formatting skills
- Ability to manage multiple priorities and maintain organization across several active matters
- Proficiency with Microsoft Office, Adobe Acrobat, and common legal practice management systems
- Experience with state e-filing systems and document management tools
- Professional demeanor and strong client-service orientation
- Experience supporting preparation of estate tax forms or financial summaries
- Notary public certification
- Familiarity with real estate documentation related to estate administration
