Job Overview
PM Sales, Inc. is a well-established supplier with over 35 years of service to customers across North America. We are seeking a dependable and detail-oriented Office Administrator to support daily business operations. This position plays an essential role in internal operations, financial processing, customer communication, and general office management.
- Create, manage, and process invoices accurately (QuickBooks experience required)
- Record, track, and organize financial transactions
- Maintain customer account information and assist with billing questions
- Prepare and update spreadsheet-based reports (inventory, sales, purchasing, etc.)
- Assist with basic financial reporting and reconciliation tasks
- Answer and route incoming phone calls in a professional manner
- Take customer orders, confirm details, and accurately enter order information
- Communicate with customers regarding order status, shipping updates, and general inquiries
- Enter data into internal systems with accuracy and consistency
- Maintain and update inventory records
- Monitor stock levels and coordinate with warehouse/production teams as needed
- Assist with organizing incoming and outgoing shipments
- Assist with filing, document organization, and routine office duties
- Support management and team members with administrative tasks
- Help maintain a clean and organized office environment
- QuickBooks experience (required)
- Spreadsheet proficiency (Excel and/or Google Sheets required)
- Financial or bookkeeping experience (required)
- Strong data-entry skills with high accuracy and attention to detail
- Excellent written and verbal communication skills
- Strong organizational skills and ability to manage multiple tasks
