COMMERCIAL DIVISION ADMINISTRATOR POSITION SUMMARY

Hooked On Solar is looking for a Commercial Division Administrator. This position is responsible for performing an extensive range of duties that include the preparation, coordination, processing, distribution and tracking of all the construction items associated with the commercial solar projects. The position will also serve as the primary sales administrator and be responsible for proposal design and contract preparation. The position of the Commercial Division Administrator is to assist the Commercial Team and support staff in organizing the ongoing projects. This involves monitoring project plans, schedules, work hours, and expenditures, organizing and participating in meetings, and ensuring that project deadlines are met in a timely manner.

MAJOR RESPONSIBILITIES COMMERCIAL DIVISION ADMINISTRATOR

· Update and Manage CRM (Smartsheet) and Commercial Team Calendar

· Experience with Prevailing Wage and Union Projects is MANDATORY

· Provide Weekly Updates to Customers

· Provide Weekly Reports to Management

· Schedule Travel and Per Diems

· Send Progress Emails to Customers

· Submit and Track Permit Applications

· Submit and Track Utility Applications

· Coordinate with Engineers for Permit Reviews and Submittals

· Schedule, Site Visits, Installations, and Final Inspections

· Update and Track Lead and Sales Tracking Sheet

· Review and Approve Timesheets

· Process Invoicing, Billing, and Commission Payouts

· Update Budgets and Reconcile Receipts

· Attend and Keep Meeting Minutes for Client Meetings

· Schedule Out of Town Travel and Coordinate Per Diems

· Organize and Maintain Hard Files

· Assist in Proposal and Contract Generation

· Act as Executive Assistant and support Commercial Team in a variety of functions as necessary

Bachelor's Degree or Equivalent

Rate of Pay: Starting at $75,000.00

Experience:

- Commercial Construction: 1 year (Preferred)

- Prevailing Wage and DIR Reporting

- Solar Experience: 2+ years (Preferred)

- Project Management/Coordination: 5 year (Preferred)

- Microsoft Office

- Budgeting and Accounting

- Scheduling

Education:

- Bachelor's Degree or Equivalent
