Role Overview: The Office Administrator / Office Manager will play a pivotal role in ensuring our workplace runs smoothly, efficiently, and with a positive spirit. This multifaceted “swiss army knife” role involves overseeing day-to-day office operations, supporting customer and client relations, providing essential administrative assistance, and championing employee morale. As the reliable point of contact for staff, and the organizer who keeps everything on track, you’ll be instrumental in creating and maintaining a productive, professional, and welcoming environment.
- Oversee daily office operations, ensuring everything runs smoothly and efficiently.
- Manage office supplies and inventory, order new supplies as needed, and ensure the office environment is welcoming and well-organized.
- Act as the primary point of contact for office-related needs and issues.
- Maintain and update office schedules, including meeting rooms, appointments, and events.
- Interact with clients, visitors, and guests with professionalism ensuring a positive impression of the company.
- Answer phone calls, handle inquiries, and route requests to the appropriate staff members.
- Ensure clients feel valued and supported throughout their interactions with the company, reinforcing strong relationships and a client-first culture.
- Support staff with day-to-day administrative needs, such as scheduling meetings, booking travel, and preparing documents.
- Assist in boost office morale by organizing team-building activities, celebrating milestones, and creating a positive, collaborative atmosphere. Coordinate team-building activities, staff functions and recognition of milestones.
- Foster a friendly, family-like office culture by being approachable, supportive, and attentive to the needs of team members.
- Assist with basic HR tasks, including onboarding new employees, maintaining accurate personnel records, and responding to employee benefits inquiries.
- Assist with payroll, expense reporting, and maintaining accurate financial records.
- Assist with bookkeeping duties, including invoicing and tracking receipts.
- Provide administrative support to senior leadership, including managing calendars, scheduling meetings, and preparing documents.
- Support legal and compliance functions by assisting with contract management, ensuring adherence to regulatory requirements, and handling related administrative tasks.
- High school diploma required; associate’s or bachelor’s degree in business administration, HR, or a related field preferred.
- Minimum 2-3 years of experience in office administration, management, legal assistance, or executive assistance.
- Experience in an engineering or technical office environment is a plus.
- Strong knowledge of HR processes, basic bookkeeping, and financial management.
- Excellent organizational and multitasking skills with attention to detail.
- Strong interpersonal skills and the ability to interact with people at all levels, both inside and outside the organization.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to maintain confidentiality and handle sensitive matters with discretion.
- Strong problem-solving skills and a proactive approach to challenges.
