Your Opportunity at SECURE
The Bid Coordinator is responsible for managing the end-to-end bid process to support SECURE’s sales efforts. This role ensures bid submissions are accurate, compliant, and aligned with client requirements while effectively highlighting SECURE’s value proposition. The Bid Coordinator collaborates closely with cross-functional teams to gather technical inputs, maintain up-to-date documentation, and track key metrics. With strong attention to detail and organizational skills, the individual in this role drives bid strategy, supports internal reviews, and contributes to continuous improvement in bid processes and outcomes.

The Sales team is a dynamic group of skilled professionals known for their proactive approach and responsiveness in driving business growth and supporting the evolving needs of SECURE. Work Environment
The Bid Coordinator position is a full-time role based at our Calgary Brookfield office. It follows a Monday to Friday schedule, with a standard 40-hour work week.
A Day in The Life
The responsibilities of this role include, but are not limited to:
- Coordinate the end-to-end bid and proposal process, including managing timelines, maintaining organized documentation, and ensuring effective communication among stakeholders
- Ensure all bid submissions are compliant, client focused, and effectively communicate SECURE’s value proposition and capabilities
- Establish and maintain detailed bid schedules, clearly outlining team responsibilities, milestones, and deadlines, and proactively tracking progress to ensure on time delivery
- Draft, review, and edit bid content for clarity, accuracy, and consistency in tone and messaging, ensuring alignment with SECURE’s standards
- Review bid documents and solicitation requirements (e.g., RFPs, RFQs) to identify deliverables, ensure compliance, and support strategic positioning
- Gather and verify technical inputs, project experience, and supporting documentation by collaborating with cross functional teams (e.g., operations, legal)
- Maintain a central library of bid materials to streamline future submissions
- Coordinate logistics for internal bid review meetings, kickoffs, and client presentations throughout the bid development lifecycle
- Track and analyze bid performance metrics (e.g., win/loss rates, submission timelines) and recommend process improvements based on outcomes and feedback
- Conduct market, geographic, and competitor analysis to inform bid strategies and identify positioning opportunities
- Ensure adherence to internal bid development processes, governance standards, and approval workflows
- Create and maintain dashboards and reports to monitor bid activity, team engagement, and outcomes
- Provide administrative support to the Sales team and assist with sales initiatives and special projects as needed
Skills, Experience & Qualifications
The individual in this role will have:
- 2-5 years of experience in administrative, coordination, or customer service roles, preferably in a fast-paced or deadline-driven environment
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with CRM platforms is considered an asset
- Strong attention to detail, ensuring accuracy and consistency across all tasks and documentation
- Excellent written and verbal communication skills, with the ability to engage effectively across all levels of the organization
- A high degree of professionalism, discretion, and the ability to manage sensitive and confidential information appropriately
- Proactive problem-solving skills, sound judgement, and a strong sense of initiative
- A positive self-motivated, and collaborative approach with the ability to work independently when required
- Strong organizational and multitasking skills, with the ability to prioritize responsibilities and perform well under pressure
- A demonstrated commitment to upholding and promoting a strong safety culture
