We are seeking a highly organized and detail-oriented Administrative Assistant / Bookkeeper to support daily office operations while maintaining accurate financial records. This role is ideal for someone who enjoys balancing administrative responsibilities with hands-on bookkeeping and accounting support. The successful candidate will play a key role in keeping the office running smoothly and ensuring financial accuracy and compliance.
- Maintain filing systems (digital and physical) and ensure records are organized and up to date
- Prepare reports, spreadsheets, and basic presentations as needed
- Coordinate meetings, appointments, and travel arrangements
- Assist with HR-related administrative tasks such as onboarding paperwork and time tracking
- Order office supplies and liaise with vendors and service providers
- Record and maintain accurate financial transactions in accounting software
- Process accounts payable and accounts receivable
- Reconcile bank and credit card statements
- Prepare and send invoices; follow up on outstanding balances
- Maintain general ledger and support month-end and year-end close
- Assist with payroll processing and expense reporting
- Prepare financial reports for management review
- Support external accountants with tax filings, audits, and financial documentation
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Business, or related field preferred
- 2+ years of experience in administrative support and/or bookkeeping- Proficiency with accounting software (e.g., QuickBooks, Xero, Sage)
- Strong working knowledge of Microsoft Office (Excel, Word, Outlook)
- Excellent organizational skills and attention to detail
- Ability to handle confidential information with discretion
- Strong communication and time-management skills
- Experience with payroll systems
- Familiarity with sales tax, expense tracking, and basic financial compliance
- Ability to work independently and prioritize multiple tasks
