The Office Administrator will manage the daily operations of the Beatty Project office and provide administrative support to office staff and visiting employees.
- Provide efficient and professional administrative support, including scheduling, travel coordination, confidential correspondence, reports, and presentations
- Serve as office receptionist: answer phones, greet visitors, and manage mail, shipping, and print requests
- Coordinate on- and off-site meetings, special events, and catering
- Maintain office supplies and vendor relationships
- Support purchasing activities, including requisitions and procurement
- Assist with employee onboarding and emergency evacuation procedures
- Ensure office facilities are maintained and fully functioning
- Log and coordinate maintenance requests with vendors and contractors
- Communicate potential disruptions to management and support proactive maintenance planning
- Coordinate local travel arrangements in accordance with AGA travel policy
- Manage local accommodations, transportation, and visitor support agreements
- High School Diploma or GED
- Valid U.S. Driver’s License
- Minimum 1 year of administrative or office management experience
- Knowledge of travel and expense management
- Strong communication, organizational, and multitasking skills with the ability to work independently and maintain confidentiality
