Position Overview
The Document Control Specialist will play a key role in supporting the design, planning, and execution of company infrastructure projects. This position ensures effective document management throughout the project lifecycle—from initial design through project closeout. The ideal candidate will maintain the document control system across all project sites, uphold internal standards, support reporting needs, and provide training to project stakeholders.
- Serve as the primary point of contact for all document control-related issues, system support, and ongoing administrative needs.
- Coordinate with subcontractors and suppliers to ensure full compliance with company document management requirements.
- Process and track project documentation and deliverables, including submittals, drawings, designs, calculations, and engineering records.
- Manage project correspondence and workflows within the Electronic Document Management System (EDMS).
- Provide document management support to Contracts and Procurement teams as needed.
- Perform quality checks on all incoming documents to verify accurate and compliant metadata.
- Organize, manage, and publish approved project documentation.
- Maintain internal dashboards and distribute weekly reports identifying open workflows, mail items, submittals, and other key documentation.
- Partner with project teams to ensure proper maintenance, retention, and organization of all qualifying documents.
- Conduct training sessions—both in-person and virtual—for new team members on document control processes and system usage.
- Remain flexible and provide additional project support as required based on evolving project needs.
- Work directly with Authorities Having Jurisdiction (AHJ) to submit and process permit documentation.
