Hardline Engineering is currently looking for a Project Assistant to join our team. Reporting to the Program Manager, Distribution, the Project Assistant will assist and manage the new project review, setup and organization including documents, specifications, guidelines and SR’s.
- Assist in setting up project timelines, schedules, and resource allocations.
- Coordinate meetings and communications between project teams, clients, and stakeholders.
- Track project activities, update schedules, and report on any changes or delays.
- Organize and maintain project files, including drawings, permits, and technical reports.
- Ensure accurate storage and accessibility of all project documents.
- Prepare project status reports, meeting minutes, and summary notes.
- Collect field data such as equipment status, site photos, and updates on installations.
- Support engineers by organizing and analyzing data for technical studies.
- Coordinate permit applications and track approval statuses from regulatory agencies.
- Gather and organize documentation to meet compliance requirements.
- Track and coordinate delivery of materials and equipment for project sites.
- Provide on-site support to engineers and project managers as needed.
- Act as a liaison between clients, project managers, and technical teams.
- Prepare presentations, status updates, and communication materials for clients and teams.
- Assist in compiling project close-out documents, including as-built drawings and final reports.
- Document lessons learned to improve processes for future projects.
- Support budget tracking and prepare expenditure summaries for project managers.
- Process and track invoices and purchase orders, ensuring accuracy and timely payments.
- Additional duties as assigned
- Post secondary education in business admin considered an asset.
- 1 year experience in business or project administration.
- Proficiency with computer systems and applications including the Microsoft Office Suite.
- Ability to manage multiple assignments with tight timelines.
- Self-motivated, positive attitude, strong client focus and results driven.
- Ability to communicate effectively, verbally and in writing with internal and external customers, stakeholders and co-workers.
- Excellent organizational skills that demonstrates the ability to resolve conflicting priorities.
