Quick Metal Shop is a fast-growing metal fabrication company specializing in custom laser-cut designs, architectural panels, structures, signage, and more. We are expanding and looking for a highly organized and proactive Office Manager to support our operations and help drive our growth.
The Office Manager will oversee day-to-day administrative operations, process customer requests, assist with quoting coordination, support purchasing needs, and ensure effective communication between clients and internal teams. This role requires someone who is comfortable wearing multiple hats, thrives in a fast-paced environment, and enjoys contributing to new processes and company initiatives.
- Serve as the main point of contact for client inquiries and process incoming requests.
- Coordinate with design and operations to gather information needed for quotes.
- Keep clients informed throughout the quoting and project follow-up process.
- Assist with purchasing materials and coordinating deliveries/pickups.
- Maintain organized digital documentation and records in Odoo and Microsoft 365.
- Support scheduling, office organization, and general administrative tasks.
- Assist with social media posting, content coordination, and community engagement.
- Help execute new initiatives that support company growth and efficiency.
- Develop, document, and help implement internal processes and workflows.
- Provide general support to management and cross-functional teams as needed.- 2+ years of experience in office administration, project coordination, or similar role.
- Strong organizational skills and exceptional attention to detail.
- Comfortable managing multiple tasks in a fast-paced environment.
- Excellent communication skills in both English and Spanish.
- Ability to learn and work with Odoo, Microsoft 365, and other software tools.
- Problem-solving mindset with the ability to work independently.
- Reliable, professional, and customer-service oriented.
- Comfortable wearing multiple hats to support various departments.
- Experience with manufacturing, construction, or metal fabrication processes.
- Familiarity with quotes, work orders, or project documentation.
- Basic knowledge of purchasing or inventory management.
