We are seeking a highly organized, proactive Organizational Admin to keep our daily operations running smoothly. This in-office role combines executive support and office management with technical procurement responsibilities—ideal for someone who thrives on variety, takes ownership, and enjoys both administrative excellence and supply chain coordination.
● Manage the CEO’s calendar, meetings, and travel logistics with precision and discretion.
● Oversee office organization, incoming mail, and digital/physical filing systems.
● Maintain office supplies and vendor relationships to support a well-equipped workspace.
● Assist with job postings, applicant coordination, interview scheduling, and onboarding.
● Organize team meetings, off-site events, and internal communications initiatives.
● Interface with vendors, clients, and partners in a professional and responsive manner.
● Provide general administrative support to leadership and staff as needed.
● Source and purchase specialized parts and materials for CEMS installations and maintenance.
● Build and manage vendor relationships, negotiate pricing, and ensure regulatory compliance.
● Identify new suppliers to support innovation, cost savings, and risk mitigation.
● Monitor inventory levels and forecast needs to avoid service or project delays.
● Track purchases and inventory in QuickBooks and internal systems.
● Receive, label, and manage incoming and outgoing parts (new, used, repaired).
● Keep the warehouse organized and in sync with digital inventory records.
● Collaborate with the Office Manager to procure PPE and other warehouse supplies.
● Prior experience in executive support, office administration, procurement, or inventory management.
● Excellent detail orientation, as well as organizational and communication skills.
● Ability to manage multiple priorities and work independently.
● Familiarity with QuickBooks, spreadsheets, and basic inventory systems.
● Comfortable working in a technical or operations-focused environment.
